The equipment records every shop should keep

A small equipment register can save repeated searches for model numbers, receipts, and part descriptions. It is especially useful when more than one person handles ordering.

Create one record per machine

List the machine’s location, make, model, serial number, purchase information, and supplier contact. Link the operating manual and any installation documentation.

Keep a photo of the identification label and the machine in place. Update the record when equipment moves or is replaced so a service inquiry points to the right unit.

Track parts by confirmed fit

Record replacement parts against the specific machine they fit. Include the part number, supplier reference, and the date installed. A generic description such as “sealer belt” is rarely enough.

Store spare parts with clear labels and according to their storage requirements. Keep confirmation of electrical ratings or food-contact suitability where relevant to the part.

Use the log when planning service

Record symptoms, service dates, work performed, and follow-up instructions. This creates a useful history for the person assessing the next issue.

Review the manufacturer’s maintenance guidance with the service provider. Plan work around your operation, and confirm any proposed replacement before purchasing from an sample catalog.
