How to send a service inquiry that gets to the point

A useful equipment service inquiry begins with a clear description and the machine’s identity. Good information makes it easier to discuss the appropriate next step.

Identify the exact equipment

Send the equipment type, manufacturer, model, and serial number. A clear photo of the identification label is helpful when it is accessible without taking the machine apart.

For a replacement part, include a known part number and photos of the existing part where safely accessible. Similar-looking parts can have different dimensions, ratings, or connections.

Describe what you observe

Explain what the machine does, what you expected it to do, and when the issue started. Include any displayed error code exactly as shown. Note whether the issue is constant or appears during a particular step.

Describe recent changes such as a different cup, film, ingredient, or installation location. These details can be useful context without assuming a diagnosis.

Let the service team confirm the next step

Include your location and contact information so service options can be discussed. Do not send equipment or order an internal component before compatibility and the proposed process are confirmed.

Follow manufacturer instructions, and leave internal electrical repairs to qualified personnel. Email sales@milkteallc.com to discuss parts, inspection requirements, scheduling, and pricing.

Make it work for your station.

Use current supplier instructions and the specifications of your actual equipment. For product compatibility, parts, or a supply quote, contact sales@milkteallc.com.
